Introduction
The Trust no longer issues paper payslips or P60's. This function has been moved to online access only effective from February 2017. Having the function online makes it easier for staff to access the payslips as they are available electronically and can be downloaded or printed at anytime. This also reduces the Trust's carbon footprint, and saves time if copies are lost or disposed of.

You can access your online payslip from any computer that is connected to the Trust internet. However, as with any confidential information, it is recommended that caution is exercised when accessing or printing online payslips using shared computers and printers, or any in shared offices or public areas.

Payslips can now be accessed outside of the Trust network, however this requires setting up the internet Access via a King's computer first. This is useful for staff who may be on annual leave, sick leave or maternity leave where they can still access their payslips remotely, however we advise to restrict using this functionality on shared or public computers for security reasons.

Please note that if you plan to leave the Trust you will need to print payslips and P60s needed before you leave. You will not be able to access ESR once you have left the Trust.

How do I access my online payslip?
There are two ways to access your payslips online:
 
  • You access your online payslips by clicking the ESR Self Service App on your PC desktop, or by clicking this link ESR Online Payslips
  • If you are a smartcard user, you need to log in with your smartcard as normal, and click the yellow star on your PC desktop.

Remote access is also available, but this needs to be set up correctly on a King's PC in the first instance, as the function may not work otherwise.

How do I get access to my log in details?

My login details don't work, what do I do now?
If you have followed the guides above and you still encounter issues, you will need to contact the Workforce Admin Team via email, kch-tr.workforceadmin@nhs.net, who will then troubleshoot your account.

Please note, it is important that you only contact the Workforce Admin Team if you have tried to retrieve the information yourself and cannot gain access.

I'm new to the Trust, where is my payslip?
Important information for New Starters - If you were not paid on Pay Day via the normal payroll run, the payslip will not be online to view.

If your New Starter Documentation was delayed for any reason, and you are receiving an Advance Payment, a payslip will not be generated, as this is a payment made outside of the normal payroll run. Your payslips will be available from the following month.

Will I receive my P60 online?
P60 end of year tax certificates are available online, you will be able to view P60s from April 2014/2015. As with online payslips, online P60s can be accessed quickly and easily from any computer on and off campus as long as you remain a member of staff, and you can save them offline or print them at any time if required.

Please remember that if you do intend to leave the Trust and you require a copy of your P60, you should save or print them before you leave.

I'm applying for a mortgage, how do I get a paper payslip?
In most situations, banks and building societies are happy to accept electronic payslips, although they may request proof of the salary shown hitting your bank account. Electronic bank statements are usually sufficient as evidence here too though.

Where required, we will be able to certify a printed payslip within the HR department. In the rare situation of a paper copy being required, please print out the required payslip yourself, and attend the HR Department at Jennie Lee House where one of the Workforce Admin Tram can stamp for authenticity.

I am (or my member of staff is) on long-term leave, e.g. maternity leave. What happens with payslips?
Staff will be able to access their payslip externally whilst absent as detailed above "how do I access my payslip", as long as the remote access has been set up correctly.

How long will my online payslip be available?
Payslips will be available for an indefinite period. Payslips dating back to your start date should be available online, in addition to all future payslips.

There are a number of computers around the hospital where you can gain access to your online payslips.
 
  • Weston Education Centre Library (WEC) - access restriction currently apply. Please see the KCL website for details
  • PRUH Education Centre Library
  • The Mezz - Located on the first floor, Hambleden Wing East
  • The Learning Zone - You are able to view payslips, however there is no printing service from the learning zone. Located where the old Ferguson Room is.

Please note that there may be a charge for printing from these areas.
