E-Rostering Forms - Important:
NEW VERSIONS COMING IN EARLY 2023
We will be upgrading our HealthRoster in early 2023 - look out for notices, emails and bulletins nearer the time to ensure you are prepared for the planned downtime.
PLEASE NOTE - for all mobile EOL / MOL users, you will need to ensure that your phones are running on iOS 15 or Android 12 for the system to work properly.
Sept 2022 - State Funeral Bank Holiday
Monday 19th September 2022 was the date of HM Queen Elizabeth’s funeral, and was also a confirmed national Bank Holiday - we have now added 19th September as a Bank Holiday in the HealthRoster system for payroll purposes. All applicable staff will need this additional BH added into their annual leave entitlements, as well as marking the day as an unavailability for those not now working on this date - see our [User Guides] pages for further assistance on how to do this or contact the team.
May 2023 - Coronation Bank Holiday
There will also be an additional bank holiday for HM King Charles' coronation in May - the date for this has already been entered into the rostering system - you will still need to allocate the BH for those staff not working. Annual Leave calculator 2 has also been updated to reflect this. Please remember part-time staff need their pro-rata'd allowance for this also added into their entitlements.

New E-Rostering 'Known Issues' HR Portal sub-page
Issues currently affecting KCH HealthRoster users will now be published on the E-Rostering Known Issues page. The page will contain a description of each issue, a workaround where available and an indication of whether a fix is available.
About e-Rostering at King's
This rostering software is being rolled out to every member of staff in King's, including clinical and non-clinical areas.
The implementation team has been working closely with Ward/Department Managers and Roster Creators. Over 650 departments have been successfully completed (exceeding 11.500 staff across the Trust) and the Unit Managers, Matrons, Heads of Nursing and Business managers are already seeing the benefits of implementing this system within their areas. E-Rostering Forms - Important:
- Please DO NOT 'check out' any of the E-Rostering forms when opening them from Kwiki page links as this will prevent us from updating them. You should instead save a copy to your own file location (File > Save As) and then edit and submit your saved copy. Please also refrain from sending links to 'OneDrive' locations - attach the file itself directly to your email.
- ALWAYS download the latest form from the relevant E-Rostering Kwiki page before use to ensure you have the latest version.

- The e-Rostering software consists of three areas:
- HealthRoster v11 is the staff rosters management tool
- Employee Online enables staff to manage their own off-duty roster
- Roster Perform management tool enabling measurement of rostering effectiveness against KPI's
Key functions of HealthRoster
- Unit Managers can produce effective and transparent rosters
- Provides analysis of roster as a tool for managers to meet the key performance indicators required
- Provides direct output to payroll for all unsocial hours uplift and overtime payments- reducing the need for extra duty timesheets.
Key functions of Employee Online (EOL)
- Staff members can request annual leave
- Staff members can request up to five specific shifts and days off.
- View their individual 4 week roster.
